This privacy notice is issued by Tools4change CIC to inform you how we will use your personal information. For the purposes of the Data protection Act 1998/General Data Protection Regulation (GDPR), Tools4change CIC is the Data Controller for personal information processed by the organisation.

Who Will Own My Data Once I Submit It?

Tools4change CIC will be the owner of the data.

Who Are Tools4change CIC?

Tools4change CIC (T4C) are a Community Interest Company who provide community learning and front-line worker accredited training in a range of specialist subjects including; confidence, resilience, motivation, self esteem and domestic abuse recovery. T4C is approved and monitored by the CIC regulator and is a non-for-profit organisation.

What personal information does T4C collect?

The reasons for collecting data vary based why an individual / organisation is interacting with T4C. When you fill in a form online, contact us, book on a course, attend a course with us or interact with us in any other way, we may collect the following types of information; name, address, date of birth, gender, ethnicity, disability, address, email address, telephone number, achievement and course data, name and contact information of current employer including details about current role.

Whilst we endeavour to collect only the data for which there is a legal or sound business requirement and to ensure the integrity of the data, we strongly encourage you to contact us if you believe any data to be incorrect or wish to erase any data we have from you. Personal information will only be collected with your explicit consent and be retained for the purpose clearly indicated to you at the time of providing us with your personal information. It will not be used for any other purpose without your permission and will not be kept for longer than necessary. If you are concerned about providing your personal information online please contact us and we will arrange alternative means for you to provide this information. Where do we store personal data?

All personal information provided to us may be stored electronically. If so this is on our secure, password protected network, located in the UK.

Hard copies of any personal information we have (e.g. enrolment forms) are stored on site at our offices (address below) in lockable storage units. Access to any forms of personal data is restricted to key staff members who require access to said data for legitimate business needs. Wherever possible data will be anonymised.

The security of persona information is vitally important to us. However, no method of transmission over the internet (e.g. via secure portal to Open Awards) or method of electronic storage (Office 365) is 100% secure. While we endeavour to use commercially acceptable means to protect personal information, we cannot guarantee its absolute security.

How long will you keep my data for?

We will only hold your personal information for as long as necessary for business purposes or if we are required to keep it by law. Children’s Privacy

T4C does not knowingly register or collect personally identifiable information from anyone under the age of 16. If you, or a parent or guardian, has cause to believe that a child has provided us with personal information, please contact us immediately. We will ensure parental /guardian approval has been sought for the sharing of ‘children’s’ data with us before we process their data.

Safeguarding concerns and my personal information

T4C will share data with other organisations to achieve a purpose if there is a safeguarding concern and an individual is at risk.

Access to your information and correction

T4C strives to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously. We encourage people to bring it to our attention if they think that our collection or use of information is incorrect, unfair, misleading or inappropriate.

You have the right under the Data Protection Act 1998 (General Data Protection Regulation) to request a copy of your information and to know what it is used for and how it has been shared. This is called the right of subject access. To do so, you will need to make a ‘Subject Access Request’. If we do hold information about you, we will:

  • respond within one month of receiving your request;
  • give you a description of the data we hold;
  • tell you why we are holding it;
  • tell you who it could be disclosed to; and
  • let you have a copy of the information in a clear format
